Start with three priorities

Before comparing venues or collecting more inspiration, each of you should name the three things you care most about. A relaxed meal? Time with faraway friends? A packed dance floor? Compare your lists and agree on a shared three.

Use those priorities when you are choosing where to spend money and energy. A beautiful idea does not have to become another task.

Give every cost a complete picture

A quote is easier to compare when you know what it includes. Record the scope, taxes, delivery, set-up, collection and any extra hours separately. Ask the supplier to confirm anything that is unclear in writing.

Keep the latest total cost separate from the amount already paid. A deposit reduces what you still owe; it does not reduce the overall price.

Build a timeline people can use

For each moment, write down the time, location and person responsible. Include arrival and setup windows, travel time, meals for the team and the final clear-up.

Share the working version with your venue and key suppliers. Confirm who will make decisions on the day so small questions do not all come back to you.
